Bastuhus Sauna House ("Bastuhus," "we," "us," or "our") respects your privacy. This policy explains what personal information we collect, why we collect it, how we use it, and the choices and rights you have. It applies to our website (bastuhus.ca), our booking and account system, and our text and email communications.

We are a Canadian business operating in Toronto, Ontario, and this policy is written to comply with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy law.

1. Information We Collect

We collect information in the following ways:

Information you give us directly — when you join our email list, create a booking account, make a reservation, or contact us. This may include your name, email address, phone number, and payment information.
Booking and account information — collected and processed through our booking platform, Mariana Tek (operated by Xplor Technologies), when you create an account, book a session, or purchase a membership.
Text messaging opt-in information — if you opt in to receive SMS messages from us, we collect your mobile number and your consent status.
Website usage information — collected automatically through Google Analytics, including pages visited, general location (city/region level), device type, and how you arrived at our site. This is collected using cookies; see Section 4.

Health-related information. We do not collect health information through our website or booking system. However, staff may ask you to share relevant health information verbally at check-in — for example, whether you have a heart condition, are pregnant, or have any condition that could make sauna or cold plunge use unsafe. This is collected solely to support your safety during your visit. If we introduce a written intake form or digital health questionnaire in the future, this policy will be updated to describe exactly what is collected, how it's stored, and how long we retain it.

2. How We Use Your Information

We use the information we collect to:

Create and manage your booking account and process reservations or memberships
Send booking confirmations, reminders, and account-related communications
Send marketing emails about openings, offers, and updates, if you've opted in
Send text messages you've opted in to receive (see Section 3)
Understand how visitors use our website so we can improve it
Comply with legal, tax, and regulatory obligations

3. Text Messaging (SMS)

If you opt in to receive text messages from Bastuhus, the following applies:

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

You can unsubscribe at any time by replying STOP to any message. For help, reply HELP or contact us at hello@bastuhus.ca. Message and data rates may apply.

4. Cookies & Analytics

Our website uses Google Analytics to understand how visitors use the site. Google Analytics uses cookies — small text files stored on your device — to collect anonymized or pseudonymized usage data. You can control or disable cookies through your browser settings, though some parts of the site may not function as intended if you do.

Our booking pages are provided through Mariana Tek, which may set its own cookies as part of its booking and account functionality. Please refer to Xplor Technologies' privacy policy for details on their data practices.

5. Who We Share Information With

We do not sell your personal information. We share information only with the service providers who help us operate our business, including:

Mariana Tek / Xplor Technologies — booking, scheduling, membership, and payment processing
MailerLite — email newsletter and marketing communications
Google (Analytics & Workspace) — website analytics and business email
Netlify — website hosting

Each of these providers processes data on our behalf and is contractually and/or legally required to protect it. We may also disclose information if required by law, such as in response to a valid legal request.

6. Data Retention

We retain personal information only as long as necessary to provide our services, comply with legal obligations (including tax and financial recordkeeping), resolve disputes, and enforce our agreements. You may request deletion of your information at any time, subject to Section 7.

7. Cross-Border Data Transfers

Some of the third-party service providers listed in Section 5 — including Mariana Tek/Xplor Technologies and Google — store and process data on servers located outside Canada, including in the United States. This means your personal information may be accessed, stored, or processed in a jurisdiction with different privacy laws than Canada's.

By using our services, you acknowledge and consent to this transfer. We select service providers who maintain appropriate safeguards and, where applicable, comply with recognized data protection frameworks.

8. Your Rights

Under Canadian privacy law, you have the right to:

Access the personal information we hold about you
Request corrections to inaccurate information
Withdraw consent for marketing communications at any time
Request that we delete your information, subject to legal recordkeeping requirements
File a complaint with the Office of the Privacy Commissioner of Canada if you believe your privacy rights have been violated

9. Children's Privacy

Our website and services are not directed at children. Bastuhus facilities are available to guests 18 years of age and older, and we do not knowingly collect personal information from anyone under 18.

10. Security

We use reasonable administrative and technical safeguards to protect your personal information, including relying on reputable third-party providers (listed in Section 5) who maintain their own security standards. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

We may update this policy from time to time. The "Effective date" at the top of this page will reflect the most recent revision. Material changes will be reflected here; we encourage you to review this page periodically.
